Here's a free video from Atomic Learning is on mail merge.  It was made for Word 2000, but the idea is the same for other versions of Word.  This should help you understand how to do it in your version.

II send out a form letter to my students showing how many AR points
they have or book reports. How can I plug in their individual names in
the Dear _____blank and also plug in later on in the letter  the number
of points and book reports they have.
I can use the same letter each year but just change the names and info. 
Can someone tell me how to do this without deleting the info and
replacing it each time?
